How we collect, use, and protect information when you use Xanmark.

1. Who we are
Xanmark provides trademark search and research tools at app.xanmark.com. This policy covers the Xanmark application and its related account, search, payment, and support services. For privacy questions or requests, contact [email protected].
2. Information we collect
- Account information: your email address, name, Google account identifier, and profile information made available when you choose Google sign-in, together with your Xanmark user identifier and authentication records.
- Search information: trademarks, goods and services, selected jurisdictions and classes, search settings, drafts, reports, search history, and feedback or notes you submit.
- Billing information: your selected billing region, order details, amounts, payment status, and payment or refund references. Our payment processor collects payment details and billing addresses during checkout. Xanmark does not receive your full card number or card security code.
- Support information: information you include when contacting us.
- Technical information: request and error logs, IP addresses and browser information received by our hosting and service providers, and records needed to operate and secure the service.
- Public-source information: trademark-register records and publicly available website, business, and domain information used in research. These sources can include the names and contact details of applicants, owners, representatives, or business contacts.
3. Google sign-in
Google sign-in requests basic email and profile access. We use this information to identify you, create and secure your account, display your account details, associate your searches and orders with you, and send service-related messages. Authentication is handled through a service provider. We do not receive your Google password and do not request access to your Gmail messages, Google Drive files, contacts, or calendar.
We do not sell Google user data, use it for advertising, or use it to train AI models. Xanmark's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements where applicable.
You can remove Xanmark's access through your Google Account connections. Removing access stops future Google authorization; it does not automatically delete information already stored by Xanmark. Contact us to request account and data deletion.
4. How we use information
We use information to provide searches and reports, maintain your account and history, process orders and refunds, send order and report notifications, answer support requests, diagnose failures, prevent misuse, and meet applicable legal obligations. We also use operational and usage records to understand service performance and costs.
Where data-protection law requires a legal basis, we rely on performing our contract with you for account, search, and payment services; our legitimate interests in operating, securing, and improving the service; and legal obligations for records we must retain. Where we ask for consent, you may withdraw it without affecting earlier lawful processing. Trademark research scores support your review and do not make legal decisions about you.
5. Service providers and sharing
We share information needed to perform the services you request with providers that support the application:
- Authentication providers: account and identity information needed to sign you in and secure your account.
- Hosting and storage providers: information needed to host the application and store accounts, searches, and reports.
- Payment processors: checkout, payment processing, billing, and refunds.
- Email delivery providers: service emails, including order confirmations and report-ready notifications.
- Research and AI processing providers: submitted trademarks, goods and services, relevant search context, and source material needed to deliver the research and reports you request. The information shared depends on the features you select.
Search information may be included in queries sent to external search services or public websites. Submit only information you are authorized to share for this processing. Google authentication credentials are not used as AI search inputs. Service providers may retain information according to the terms that apply to their processing. Contact us if you need further information about recipients of your personal data.
Authorized personnel may access information when needed to operate the service, resolve support issues, or investigate abuse. We may disclose information when legally required, to protect rights and security, or in connection with a business transfer subject to applicable law and protections. We do not sell personal information or share it for targeted advertising.
6. Storage, retention, and security
Account data is stored through our authentication provider. Search, report, billing, and operational records are stored in our application databases and storage services. We keep information for as long as needed to provide your account and search history, fulfill the purposes described above, and meet legal, accounting, security, or dispute needs. Retention depends on the record and its purpose; removing a search does not necessarily remove related payment records, logs, or backups.
We use access controls and encrypted connections to protect information. No system can guarantee absolute security. Our providers may process information outside your country. Where applicable law requires safeguards for international transfers, those requirements apply to our processing. Contact us for information about the safeguards relevant to your data.
7. Cookies and local storage
The application uses authentication cookies to maintain your session and browser storage for preferences such as your display theme. Our sign-in and payment providers may use their own cookies when you use their services. Blocking essential cookies can prevent sign-in or checkout from working. The Xanmark application does not use advertising cookies.
8. Your choices and rights
You can manage individual searches in search history and contact [email protected] to request access, correction, export, or deletion of personal information, including your account. We may need to verify your identity. Some records may need to be retained for legal or other permitted purposes; we will explain any applicable limits when responding.
Depending on your location, you may also have rights to restrict or object to processing, data portability, withdrawal of consent, and a complaint to your local data-protection authority. We respond within the deadlines required by applicable law. Public-source records may also need to be corrected with the original register or publisher.
9. Children and policy changes
Xanmark is a professional research service and is not directed to children under 18. Contact us if you believe a child has provided personal information. We may update this policy as the service changes. We will update the date above and provide additional notice or request consent when required. See also our terms of service.
